Privacy Policy

Who is responsible

MealPlanner (meal-planner.be) is responsible for processing your personal data. For questions about your data or to exercise your rights, email info@meal-planner.be.

Data Collection

We collect various types of information to provide you with the best service:

• Account details: your name, email address and password (stored only as an unreadable hash), or, when you sign in with Google, the name and email address of your Google account
• Your recipes, weekly menus, grocery lists and pantry, and the photos you add or have created
• Usage data: which features you use and when, for example a recipe added or edited, a menu created, an item ticked off your grocery list or the app opened, and which kind of page in the app you view, without its content. For imports we only keep the website's name, not the full link.
• How you found us: when you sign up, the website that sent you (its name only), the page your visit started on and any campaign codes in that link. With your consent, your browser also remembers this for your first visit.
• Error reports: when something goes wrong on the server or in your browser, we keep the error message, the kind of page and your account id, to fix the problem. What you typed is not part of it.
• Speed measurements: how fast pages load, per kind of page and device. They count anonymously. With your consent we also link them to your account.
• For AI features: per call, the feature, the model, the duration, the number of tokens and whether it worked. The text, photo or PDF itself is not kept there.
• Technical data such as your browser, your IP address and whether you installed the app on your home screen, to run and secure the service

Data Usage

We use your data for the following purposes:

• Providing and improving our service
• Personalizing your experience
• Communicating about your account and service
• Sending onboarding and reminder emails about your account — you can opt out anytime via your profile or the unsubscribe link at the bottom of every email.
• Improving our products and services
• Securing the service and finding and fixing errors

Legal bases

We process your data on these grounds:

• Our agreement with you: to provide the service you create an account for, with your recipes, menus, lists and pantry, and the AI features you use yourself.
• Our legitimate interest in running the service safely and without errors, and improving it: error reports, security, usage data, where a signup came from during that visit, anonymous speed measurements and emails about your account. You can always object to this.
• Your consent: for Google Analytics, for linking speed measurements to your account and for remembering your first visit. You can withdraw it at any time via Cookie settings.
• A legal obligation: when the law requires us to keep or share data.

Data Sharing

We never sell your data. We only share it in these cases:

• With service providers that run the service for us, and only for that: Amazon Web Services (hosting, photo storage and backups), our email provider (sending emails), Anthropic (importing or writing recipes and reading photos of recipes or groceries and digital receipts, using only the page, text, photo or PDF you submit), OpenAI (creating AI photos of dishes, using only the dish's name and ingredients) and Google (sign in with Google, and Google Analytics if you consent). Photos and PDFs we only read are not stored.
• When legally required or to protect our rights
• In case of a business transfer or merger
• With your explicit consent

Anthropic, OpenAI and Google may process data outside the European Union, including in the United States. This happens with the safeguards the GDPR provides for, such as the European Commission's standard contractual clauses.

How long we keep data

We keep your data no longer than needed:

• Your account, recipes, menus, lists, pantry and photos: as long as your account exists. If you delete your account, they go, your photos included.
• Usage data, error reports, AI call records and speed measurements: linked to your account for 25 months. After that we remove the link, and only anonymous counts remain.
• After you delete your account we keep only anonymous data: that an account existed, for how long, and how many recipes and menus it had, with nothing that points to you.
• Server logs and backups: 14 days.
• What your browser remembers about your first visit with your consent: up to 90 days, or until you sign up or withdraw your consent.

Data Security

We take the security of your data seriously:

• All data is encrypted during transmission and storage
• Data access is restricted to authorized personnel
• We regularly monitor for security threats
• We have procedures for reporting security incidents

Your Rights

You have the following rights regarding your data:

• Access to your personal data
• Correction of inaccurate data
• Deletion of your data
• Transfer of your data to another service
• Objection to certain forms of data processing
• Withdrawal of your consent at any time, via Cookie settings

If you are not satisfied with how we handle your data, you can file a complaint with the Belgian Data Protection Authority (www.dataprotectionauthority.be).

Cookies

We use cookies and similar browser storage. Necessary cookies make the service work. Everything else only happens with your consent.

• Necessary: your session cookie to keep you signed in, security cookies during sign-in, and a cookie that remembers your language
• Analytics, only with your consent: Google Analytics, to understand how visitors use the website and the app. Without consent we don't load Google Analytics. With consent only measurement is on, not the advertising features, and we pass on a page's address without personal data such as searches or links. If you withdraw consent, we remove the cookies.
• Your browser also keeps a few settings, such as your theme, your cookie choice and an auto-saved recipe draft, and, with your consent, where your first visit came from.

You can change your choice at any time via Cookie settings, at the bottom of every page or below.
